Weituo Export DeskService Terms

Terms of Service

These terms govern the use of the Weituo export desk and the coordinated booking, documentation, insurance and delivery services supplied by Shijiazhuang Weituo Trading Co., Ltd. When you rely on the desk, you accept the rules below.

Last reviewed 5 September 2026   version 2.1

Shijiazhuang Weituo Trading Co., Ltd. operates the Weituo export desk, a coordination service in the computer integrated systems design line of business. A manufacturer sends goods abroad, and the desk turns that sale into a tidy chain of confirmed bookings, clean documents, protected cargo and a satisfied buyer. This agreement states the responsibilities of the desk and the responsibilities of the customer. Reading it once keeps a working relationship simple for many shipments to come.

1. Acceptance of These Terms

By browsing this website, sending an enquiry, requesting a sailing plan or asking Shijiazhuang Weituo Trading Co., Ltd. to coordinate a shipment, you agree to be bound by these Terms of Service. If you act for a company, a factory, a buying office or another organisation, you confirm that you have the authority to bind that organisation and that the agreement applies to it as well as to you personally.

If any clause of these terms is held to be invalid or unenforceable by a court with authority, that clause is struck from the agreement without touching the rest. The remaining clauses continue to operate in full, and the invalid clause is replaced by the closest lawful meaning that the parties would have intended.

We may revise these terms from time to time. Each revision is announced by an updated version number at the top of this page. A material change will be flagged on the website and, where we hold a working contact for you, explained in a short note. Continued use of the desk after the change takes effect means you accept the updated version.

2. The Parties

The service provider under these terms is Shijiazhuang Weituo Trading Co., Ltd., registered at Room 201, Unit 1, Building 3, South Area, Xinda Garden, No. 88 Yongtai Street, Xinhua District, Shijiazhuang - 050000, China (CN). The Weituo export desk and the developer mark WeiTuo are used by this company in the course of its design and coordination work.

The customer is the person or the organisation that submits an enquiry, places a booking or accepts a coordination instruction from the desk. A customer may act for itself or on behalf of a shipper whose name appears on the booking; where a shipper of record differs from the person placing the order, both are treated as part of the customer side for the purpose of these terms.

Nothing in this agreement creates a partnership, an agency or an employment relationship between the desk and the customer, or between the desk and any carrier, haulier, broker or supplier engaged for a shipment. Each party remains separately responsible for the obligations it accepts in its own name.

3. Services Supplied

The desk supplies export trading coordination and integrated shipment systems design. In practice this means that we act as a single, accountable coordination point for a manufacturer that sells goods to an overseas buyer, organising the separate tasks that would otherwise scatter across several vendors.

Our coordinated services include export shipment coordination, booking and carrier schedule advisory, customs document preparation systems, cargo insurance coordination, buyer communication and order tracking, and port-to-door logistics planning. Each task is performed against the export file we hold for the shipment, never in isolation.

The desk does not itself act as an ocean common carrier, an airline operator, a marine insurer or a customs authority. It coordinates those entities on your behalf. Where a carrier or other third party imposes its own conditions, those third party conditions also apply to the movement alongside the terms set out here, as described in the section on partners and external platforms.

4. Use of the Website

This website is offered for lawful, reasonable use connected with export coordination. You agree not to use it to interfere with the operation of the desk, to read another party file you do not own, to attempt unauthorised access to our systems, to send a damaging payload or to harvest information in a way that a reasonable reader would regard as abusive.

The content on these pages, including service descriptions, office details and contact channels, is provided for general information. It does not form a binding offer on its own. A rate, a transit time or a sailing opening only becomes binding when we confirm it in writing for a specific booking.

Links that leave this site lead to pages controlled by others. We include them as a convenience and we are not responsible for the content, the accuracy or the practices of those pages. Your use of an external site is governed by that destination rules, which you should read before relying on anything posted there.

5. Customer Obligations

For a booking to move smoothly the customer must give the desk accurate and complete information at the right time. That includes the correct product description, the real weight and dimension figures, the hazardous nature of any cargo, the proper buyer name and address and the true commercial value used on the invoice and the declaration.

The customer must provide documents and instructions early enough for the desk to prepare the file before the closing date of the nominated vessel. If the information is wrong, late or withheld, the desk cannot be responsible for the consequences, including a missed sailing, an amended booking or a customs penalty that flows from an inaccurate declaration supplied by the customer.

The customer also agrees to keep the desk informed of any change that affects a movement, such as a new factory address, a delayed production run or a revised port of discharge. A file that reports yesterday facts cannot be expected to deliver a tomorrow sailing, and prompt updates protect everyone involved.

6. Quotes, Bookings and Rates

A request for a sailing plan produces a routing suggestion and an indication of cost. That indication is a quote, not a locked guarantee of the exact final figure, because freight combines a market-driven ocean rate with several fixed fees that can vary until the shipment is finalised.

A booking becomes effective when the desk confirms it in writing with a booking reference and a named carrier or vessel service. From that point the desk works to hold the opening, follows the carrier cut-off and keeps the shipment file pointing at the right vessel.

Rates are confirmed for the scope set out on the quote. A change of volume, of weight, of port or of shipment date can trigger a revised charge from the carrier which the desk will pass on transparently with the source explanation. The desk does not inflate a carrier charge for its own margin; its coordination fee is stated separately and clearly on the invoice.

7. Confirmations and Updates

Good communication is the heart of the services. The desk issues written confirmations at the natural milestones of a shipment, including booking, container closure, gate-in, loading and delivery, and relays the same position to the buyer in terms that non-experts understand.

Confirmation you receive by email or through our channels is the working record of the shipment. You should check each confirmation and tell us promptly if any detail does not match your instructions. A discrepancy that goes unreported until the vessel sails may no longer be correctable, so a short review when each note arrives saves a longer dispute later.

Status notes reflect the most recent carrier data available to us. A schedule can shift with weather, port congestion or a change of rotation, and when that happens the desk updates the file rather than repeating an obsolete note. We aim to inform you as soon as a change is visible, recognising that some shifts occur after the desk has closed its board for the day.

8. Customs Documents and Accuracy

The desk prepares customs documents such as the commercial invoice, packing list, certificate of origin and customs declaration using the details you provide. We check the internal consistency of the file, verify the commodity code against the description and reconcile the declared value with the invoiced value so the papers read cleanly to an inspecting officer.

The accuracy of the underlying commercial facts remains your responsibility. You know the true nature of the goods, the genuine price agreed with the buyer and the legal status of the cargo under export control rules. The desk cannot certify a fact it does not control, and it relies on the information you supply as truthful.

Where a customs filing must be lodged with an authority, we coordinate the submission through the responsible broker or directly where permitted. Any duty, penalty or correction arising from an inaccurate declaration based on information you provided is your responsibility, whereas an error that clearly originated in our drafting will be corrected by the desk without charge to you.

9. Insurance Cover

We coordinate cargo insurance by comparing cover, confirming the insured value matches the invoice and arranging the certificate the buyer and the letter of credit require. The terms of cover in total are set by the insurer that underwrites the risk, and the desk acts to place and document that cover rather than to act as an insurer itself.

A policy of marine or transport insurance sits outside the operator liability that may also apply to a negligent carrier. You should confirm that the insured value and the named beneficiary match your commercial intention and that any deductibles are acceptable to you before the cover is bound.

If a claim must be reported, tell the desk immediately so the loss can be surveyed and documented while evidence is still available ashore. A claim filed late or without the expected packing and invoice evidence can be weakened or declined by the insurer, so urgency at the outset of a loss protects the value of a cover that was correctly arranged in good times.

10. Invoices, Charges and Payment

The desk charges a coordination and systems design fee that is separate from the freight and charge amounts it settles on your behalf with carriers, hauliers, brokers and insurers. Each invoice distinguishes the coordination fee from reimbursable disbursements so that the basis of the total is always visible.

Invoice terms are agreed at booking or stated on the quotation. A payment that is missed may cause the desk to suspend further work on your export file, and a carrier or a customs broker may take a similar step under its own rules. Interest and collection costs follow the agreement applied at booking if a payment becomes overdue.

We do not include hidden handling margins. Freight and charges are passed on at the amount we paid or the agreed amount, accompanied by the supporting detail where your agreement or the applicable law requires it. Should an estimate prove lower than the actual charge, the desk advises you before a commitment is made whenever the timing allows a choice to be exercised.

11. Changes and Cancellations

Export dates move, and the desk is built to cope with a change of plan. A change of vessel, of gateway or of shipment mode is handled by rebooking and by updating the shipment file, with any additional or reduced cost reflected in the invoice.

A booking cancelled by the customer after the desk has confirmed space with a carrier can attract a cancellation charge from the ocean carrier or airline. We pass that charge through in the amount the carrier bills, and we confirm the amount with you before it is settled where timing allows.

A change you request is recorded in writing and answered in writing. This written trail prevents a spoken tweak from turning into a disputed recall weeks later, and it gives every person who touches the file the same latest instruction.

12. Delays and Events Beyond Control

Shipping is exposed to events no coordination service can prevent. War, civil unrest, a pandemic, a port strike, a canal closure, severe weather, an embargo, a sanction, an official detention, an interruption of power or communication and any other event outside our reasonable control can delay a sailing or stop it entirely.

Where such an event prevents the desk from performing a confirmed service, the desk suspends that obligation without liability for the delay, keeps the customer informed as events unfold and resumes performance as soon as the cause is removed. Suspension does not cancel a lawful charge already incurred, such as a transport rate earned before the interruption.

We ask customers to insure time-sensitive cargo and to contract with buyers on delivery dates that tolerate the ordinary uncertainty of ocean transport. No desk can promise a port to keep loading in a cyclone, and an honest statement of limitation protects the predictable parts of the service rather than excusing the preventable ones.

13. Intellectual Property

The design of this website, the desks layout, the route board illustrations, the text of the service pages and the operational approach of the coordination system belong to Shijiazhuang Weituo Trading Co., Ltd. or to its licensors. They are protected by the intellectual property laws that apply in China and in the territories where the site is read.

You receive a limited, non-exclusive, revocable right to view and use the website for your own lawful export business. That right does not include copying the site wholesale, reusing its distinctive navigation or layout in a competing service, extracting content into another product or presenting the desks material as your own.

Material you send us, including enquires, packing detail and instructions for an export file, remains yours. We use it only to perform the service and to respect the privacy rules described in the accompanying Privacy Policy. No content you provide is taken up as a claim on your intellectual property.

14. Partners and External Platforms

The desk depends on a chain of independent partners to move cargo: ocean carriers, airlines, hauliers, customs brokers, warehouse operators and insurers. Each carries its own terms, and where those terms govern the physical movement they bind the shipment alongside the coordination terms set out here.

We do not warrant the performance of a partner beyond the limits that partner makes good under its own rules. If a vessel is withdrawn and a carrier refunds only part of a rate, the desk passes on the refund it receives and is not separately liable for the difference that the carrier itself declines to pay.

Links on our pages can take you to those partners or to industry sites. Those pages are outside our control, so the applicable terms and the privacy practice there belong to the operator of the destination site. We describe these relationships so that no reader mistakes a partner page for our own.

15. Responsibility and Limits of Loss

Each party is responsible for the loss it causes and cannot transfer that responsibility by a fair reading of these terms. The desk is liable for damage or loss that arises from its own neglect in coordination, documentation, communication or instruction, measured against the ordinary care of a competent export coordination firm.

Where regulation limits the liability of a carrier for loss or damage to cargo by a fixed amount, such as the limits set under the carriage conventions, our own responsibility for the cargo is capped at no more than the recovery that would be available under that governing regime. This keeps a single agreed scale of recovery across a movement performed by several modes.

We do not restrict a liability that the law does not allow us to restrict, including liability for fraud, for death or personal injury caused by our neglect, or for a liability that arises where we hide a fact in bad faith. Outside those protected cases, neither party is liable for indirect or consequential loss such as lost profit, lost production or loss of a contract that was not a natural and obvious consequence of the breach.

Because a desk helps manufacture and trade, the value of a coordination error rarely exceeds the value of the freight and the documentary risk it guards. We therefore cap our total liability to you for any one shipment, and for each claim under it, at the coordination fee paid for that shipment unless a separate written guarantee states a higher figure.

16. Indemnity

The customer agrees to indemnify Shijiazhuang Weituo Trading Co., Ltd. against claims, loss and reasonable cost that arise from a source within the customer control. That source includes inaccurate goods descriptions, unmarked dangerous cargo, a counterfeit or prohibited product, an unauthorised shipment, and a breach of export control or sanctions rules committed with the customers goods.

The indemnity does not excuse the desk from its own duty of care and does not make the customer liable for a loss caused by an error the desk itself made and should have caught before a file left its hands. In other words, the customer answers for the facts it owns and the desk answers for the drafting it owns.

Where a claim threatens the desk because of a third party with its own remedy, the customer will cooperate reasonably in resolving the matter, including supplying the genuine invoices, licences and the correspondence that show the lawful nature of the cargo. Cooperation of that kind keeps a dispute brief and keeps a freight relationship alive.

17. Privacy and Records

The export file carries personal detail, and we handle that detail under the Privacy Policy published on this website, which forms part of these terms by reference. Where the Privacy Policy and these terms differ, the more protective rule for the individual applies to personal data.

The desk keeps shipment records for the period required by accounting and customs rules and by our own retention calendar. Within that window a record may be inspected by the customer for goods that customer ships and by an authority acting lawfully. Personal identifiers are removed when the record no longer needs them.

Confidential details exchanged for a shipment, including rates and buyer pricing, are shared only with the parties that need them to complete the movement. Neither party uses the other confidential data for an unrelated purpose, and a return of confidential material is completed without unnecessary delay when the relationship ends.

18. Governing Law and Disputes

These terms are governed by and interpreted under the laws of the Peoples Republic of China, without regard to conflict of laws rules that would look to another jurisdiction. The desk is operated from Shijiazhuang by a company registered in China, and consistency in a single governing law keeps the agreement predictable for both sides.

The parties first try to resolve a dispute through good faith discussion at the contact points at the end of this agreement. Only a matter that cannot be settled by discussion advances to formal process, where it is submitted to the competent courts of the place where Shijiazhuang Weituo Trading Co., Ltd. is registered.

Nothing here stops a consumer who benefits from the protection of a mandatory rule in the customers home law from relying on that rule where it applies. This paragraph does not take away a right the customer cannot lawfully waive, and it is drafted to sit inside the wider limit framework rather than to override it.

19. Whole Agreement and Contact

These terms, together with the Privacy Policy and any written confirmation issued for a specific booking, form the whole agreement between the parties about the coordination service. They replace earlier drafts or conversations, and a change to a shipment is effective only when it is recorded in writing.

A waiver of a single breach is not a waiver of any later breach, and a failure to press a right on one occasion does not give that right up. Where a heading in these terms is used for convenience only, it does not change the meaning of the clause it sits beside.
